Administrative Assistant
Full job description
Job Title: Administrative Assistant
Reports to: NHCH Executive Director
Status: Temporary Part-Time, 20 hours per week
Contract Duration: 2 years
Schedule: 20 hours divided over 5 days per week, Monday through Friday in the NHCH office – Port Dover.
Compensation: range $16.55 – $20.00/hour
Administrative Assistant Job Responsibilities:
- Manage, triage and (as appropriate) respond to telephone and email communication
- Coordinate client intakes under the direction of the Psychosocial Bereavement Consultant
- Collaborate with and assist the NHCH Psychosocial Bereavement Consultant with program planning, including marketing and advertising, identifying/booking appropriate locations and arranging consumables and/or refreshments, as required
- Create and maintain client, volunteer and donor profiles in our electronic documentation platform
- Coordinate meetings for board members, as needed
- Prepare spreadsheets, flyers, and other documents as needed
- Collaborate with board members, volunteers and Psychosocial Bereavement Consultant on social media posts, event advertising (fundraising & programs), and media relations/coordination
- Distribute information to board members and staff as necessary
- Other duties and responsibilities as assigned.
Administrative Assistant Skills and Qualifications:
- Diploma in business or medical office administration or equivalent education recommended
- 3 years of experience as administrative or medical office assistant managing similar responsibilities is preferred
- Knowledge of appropriate software including, Microsoft applications, online meeting platforms and Adobe Acrobat
- Abide confidentiality following PHIPA (Personal Health Information Protection Act) guidelines
- Strong administrative, organizational and time management skills
- Excellent interpersonal and critical thinking skills
- Excellent oral, written and communication skills
- Ability to work in a fast-paced environment and handle time sensitive situations
- Demonstrated ability to work in a collaborative team environment
- Valid driver’s license and current automobile insurance.
Job Types: Part-time, Fixed term contract
Contract length: 24 months
Pay: $16.55-$20.00 per hour
Expected hours: 20 per week
Flexible Language Requirement: French not required

Ability to commute/relocate:
Port Dover, ON N0A 1N7: reliably commute or plan to relocate before starting work (preferred)
